FOCUS Canada’s mandate ranges from the field of emergency humanitarian assistance, relief and resettlement of displaced and deprived populations, to the promotion of disaster risk reduction measures in communities that are prone to natural disasters, particularly in high altitude locations.
About the Role
NOTE: This is a paid, full-time position. 

FOCUS Canada is seeking a qualified and full-time Donor Services Coordinator. The Donor Services Coordinator will be responsible for managing the donor database, donor tracking and follow-up. The Coordinator will report to FOCUS Canada’s Executive Officer and work closely with the Finance Team and assist with strengthening donor stewardship and fundraising volunteer relationships.

Summary of Responsibilities:

Donor Database Management
  • Process and maintain donor information in Raiser’s Edge. Review and record corporate, direct mail, on-line, individual and event gifts, one-time, recurring, as well as pledges, employer matching contributions daily.
  • Ensuring the privacy and confidentiality of donor information at all times.
  • Design and execute data integrity projects including returned mail, address updates, merge and inactivation processes.
Tax Receipting
  • Responsible for tax receipting – working on logistics to ensure documents are sent out on time.
Accounting and Audit
  • Support the monthly bank reconciliation and resolve any discrepancies between the entry in Raiser’s Edge and the bank.
  • Streamlining /documenting processes finding areas of inefficiencies to reduce time on these process without compromising internal controls and audit requirements.  
  • Assist the Senior Finance Officer for management of the internal and external audits including providing backup documents and responding to the auditor’s questions.
  • Manage inventory of  Donor Record Forms.
Donor Service
  • Respond to daily donor and volunteer queries, data entry, and ad-hoc requests in a timely manner with high level of customer service.
  • Provide assistance and necessary training to volunteers supporting FOCUS’ Donor Services initiatives.
Fundraising
  • Create monthly fundraising reports, including the production of donor lists, regular progress reports and extractions of data from the database for analytical purposes.
  • Process and mail pledge reminders, receipts and acknowledgments, and other donor communications as required; devising systems where necessary.
  • Support the annual fundraising events with the Board, Staff and Volunteers, including logistical assistance to the regions with fundraising materials.
  • Assist in donor cultivation and stewardship events, as needed.
  • Ensuring the Donor Service Volunteer teams have adequate supplies and Donor Record Forms.
Banking
  • Preparation of banking batches and deposit tickets.
About You
Qualifications, Key Skills, and Personal Characteristics:
  • Bachelor’s degree in Accounting, Finance, or Business Administration.
  • Minimum three years of database management, customer service and/or data processing.
  • Basic knowledge of accounting concepts, techniques, and principles.
  • Proficiency with MS Office required.
  • Experience in working with the latest version of Raiser’s Edge (database software) and /or other database software(s) will be considered a plus.
  • Knowledge of Crystal Reports and ability to conduct data analysis preferred.
  • Experience in working with large amounts of data.
  • Excellent verbal and written communication skills.
  • Must assume responsibility for accuracy and timeliness of work product.
  • Willingness to work evenings, weekends, and holidays, as needed. 
  • Consistently communicate with enthusiasm, encouragement, and self-confidence in a professional and friendly manner to colleagues, volunteers, and donor constituents. 
  • Ability to work independently and in a team environment.
  • Ability to multi-task and adhere to tight deadlines in a fast-paced environment.
  • Analytical and focus-oriented with attention to detail and accuracy.
  • Able to work with minimal supervision.
  • Security Clearance.

Salary will be commensurate with experience and will be negotiated at the time of hiring.
